What can you control?

You can improve the accuracy, clarity and public accessibility of the business information you publish. A search product controls its own responses, so these improvements should not be sold as a guaranteed mention or recommendation.

How should you evaluate the effort?

Separate verified website improvements from observed mentions, citations and referral visits. Keep the evidence and its limitations attached to each claim. A useful inquiry is a different outcome from seeing a business name in one generated answer.

Separate discovery, citation and recommendation

A business can be named in an answer, linked as a source or recommended for a particular need. Those are different observations. Before planning work, specify which one matters and why. A mention without accurate service information may have little value; a relevant visit that leads to a useful inquiry may matter more than a screenshot of the business name.

Do not describe a website change as a way to force ChatGPT to recommend the company. The publisher controls its own information and access settings, while the product determines its response to a particular request. A responsible plan focuses on making the business understandable and its public information reliable, then observing outcomes without claiming control over them.

For a hypothetical specialist service, the useful question might be whether someone researching a suitable provider can find an accurate explanation of its scope. That is more specific than asking an assistant to list the business repeatedly. It also gives the website team something concrete to improve even when a citation does not follow.

Review public search access as a specific technical question

OpenAI identifies OAI-SearchBot as a crawler used for ChatGPT search. Its publisher guidance says not to block that crawler when seeking inclusion in summaries and snippets. Ask the site’s technical owner to review the relevant crawler and hosting controls against the current official documentation, rather than changing every bot setting indiscriminately.

Search access and model-training controls are separate decisions. OpenAI documents different purposes for OAI-SearchBot and GPTBot. Keep the business’s preferences explicit and use the relevant controls for each purpose. Allowing a search crawler is not a promise of inclusion, and a desire for visibility is not permission to expose private pages.

Record which public pages are intended for discovery and which remain drafts or restricted resources. Verify the actual page response as well as the configuration. A setting in a dashboard may not describe every rule applied by hosting or a security service. The review should end with a documented observation, not a broad statement that the website is now guaranteed to appear.

Make the business identity and offer unambiguous

Use consistent, owner-confirmed information about the company’s name, services and contact routes. Explain where service is delivered and distinguish a staffed office from remote coverage. If the business has changed its offer, correct the affected pages rather than leaving contradictory descriptions for readers to reconcile.

Give each service a clear explanation of suitability, inputs and exclusions. A visitor should be able to tell whether the company offers the work they need without interpreting vague claims such as “complete solutions.” Include a next step that accurately describes what happens after an inquiry. Clear information benefits people regardless of how they discovered the page.

Keep proof proportional to what can be verified. An approved project example can demonstrate actual work; a hypothetical scenario can explain a decision process. Label them differently. Do not manufacture a case study, testimonial, certification or local presence to make the business appear more established to an automated system.

Publish answers grounded in the business’s knowledge

Identify questions the team can answer better because it understands the service. Useful material might explain what a client should prepare, why a requirement changes scope or how to compare two approaches. The value comes from the substance of the answer, not simply from formatting a generic paragraph as a question and response.

Ask subject-matter reviewers to confirm claims and examples. Link to primary sources when a statement depends on a platform rule or external specification. Keep an internal note of the source date and the exact claim it supports. A source about one product should not be used as evidence for another product’s behavior.

Avoid publishing multiple versions of the same answer merely to repeat the business name. Plan distinct reader purposes and maintain the answers after release. A smaller set of confirmed explanations can be more useful to a prospective customer than a large collection of contradictory or superficial pages. This is an editorial principle, not a guaranteed citation formula.

Observe outcomes with a reproducible record

If you review ChatGPT search results, record the question, date and relevant context along with the observed response. Distinguish whether the answer linked to the business, mentioned it without a link or did neither. Save only the evidence needed for the review, and avoid putting private customer information into test questions.

Do not treat a single favorable response as a stable position or market share measurement. Responses can differ with context, and a small set of prompts may not represent customer behavior. Use observations to identify inaccuracies or research questions, not to manufacture a performance percentage from an arbitrary sample.

OpenAI’s publisher FAQ describes ChatGPT referral URLs using utm_source=chatgpt.com. Where analytics is configured, review the available referral evidence and its limitations. A referral count and a completed sale are separate measures. Keep the source of each metric visible and avoid adding overlapping attribution claims as if they were unique customers.

Correct owned information before pursuing broad visibility claims

When an observed answer misstates the company’s services, first examine the information the business controls. Look for outdated descriptions, contradictory service pages and unclear coverage. Correct confirmed errors there and record the changes. Do not assume you can directly edit an assistant’s future responses or that a website correction will appear immediately.

If an outside profile contains inaccurate public business information, identify its owner and normal correction process. Any account change or outreach should be authorized and based on factual evidence. Buying mentions or inventing endorsements is not a substitute for maintaining accurate information about the company.

Define the first deliverable

Choose one important service page and document its current offer, confirmed business facts and unresolved questions. Review that page for clarity and public access, then specify the changes a human can verify. This turns an uncertain ambition such as “get mentioned by AI” into concrete work while keeping the outcome claim honest.

After the changes, retain the same evaluation questions long enough to compare observations responsibly. If the business objective changes, update the measurement brief rather than mixing incompatible results. A useful report should explain what was improved, what was observed and what remains outside the team’s control.
