Separate the source from the response
Review your own website first. Does it clearly state the service, delivery area, contact path and important limits? Are outdated claims still available on old pages? Fixing a source you control is a concrete action even when a model's response cannot be directly edited.
Distinguish search access from model-training choices. OpenAI documents different crawlers for different purposes. Review the relevant official guidance before changing a site's crawler rules, and make the access decision deliberately.
Use a documented observation method
Choose a small set of realistic customer questions and record the exact wording, date, visible sources and product context. Treat the answers as observations that may vary. A favorable one-off prompt is not evidence of repeatable visibility for all users.
Check whether cited sources actually support the answer. If a third-party listing contains outdated facts, prepare an appropriate correction rather than adding contradictory claims to your own site.
Improve the information customers need
Develop clear service explanations and useful resources based on real expertise. Avoid fictional credentials, fabricated testimonials or unsupported superlatives intended to influence an answer. They remain misleading regardless of whether a person or a model reads them.
Dappr can scope source review and AI search content work. The business outcome to discuss is accurate discovery and useful inquiries, with no guarantee of ChatGPT mentions or citations.
Define the kind of visibility you are investigating
A business name appearing in a generated response, a cited website link and a visit arriving at your site are different observations. A response might name a company while relying on another source, or link to a useful guide without recommending the company. Decide which question matters before choosing a measurement method.
For a hypothetical business with a recently changed service, the priority may be whether public answers still describe the discontinued offering. For another business, it may be whether prospective customers can find a detailed resource relevant to their decision. These are more specific research questions than asking whether the brand is winning in AI. A clear question makes it easier to identify an actionable source problem instead of repeatedly collecting screenshots with no agreed meaning.
Review search crawler access deliberately
OpenAI's current crawler documentation distinguishes OAI-SearchBot, which supports search discovery, from GPTBot, which concerns potential training use. The controls are independent. A website owner should review those purposes before changing access rules, rather than assume that permitting training is required for search participation.
A technical review should also examine relevant hosting or security restrictions when authorized. The presence of an allow rule alone does not prove that a page can actually be fetched successfully. Use current official documentation to interpret the intended crawler and any published network information. Record the proposed change, its purpose and how access will be checked. This work concerns public discovery; it does not require making private customer records or restricted internal documents publicly accessible.
Correct the best available source of a wrong fact
When an observed answer contains an error, inspect the sources it shows and the current pages you control. Classify the issue: an outdated website statement, a conflicting third-party record, an unsupported interpretation or a question with too little context. Each category needs a different response. Adding a new promotional page is not a universal correction method.
Suppose a hypothetical company used to offer on-site appointments but now delivers a service remotely. The website's service page, contact instructions and older public materials may tell different stories. Correct the current authoritative information and request appropriate updates to records controlled elsewhere. Keep a dated record of the changes. Do not promise that a corrected source will instantly replace every prior response or that an agency can directly edit the product's generated answers.
Make a monitoring sample reproducible
Write down the prompts before reviewing the results and state why the sample is relevant. Record the product context, date, wording and any visible sources. Keep unfavorable or ambiguous observations alongside favorable ones so the report does not become a collection of selected wins. If the scope includes repeat checks, document the interval and any changes to the method.
A prompt that names the business asks a different question from one asking for providers in a category. A follow-up inside an existing conversation can also have context absent from a fresh question. These distinctions matter when interpreting what happened. Report observations as observations, without converting a small sample into a claim about all ChatGPT users or a permanent position the business supposedly owns.
Connect source improvements to a usable destination
When someone follows a link, the page should make sense without the conversation that led there. Explain the subject, identify the relevant offer and provide the next step where appropriate. A guide should remain useful even if the visitor does not inquire. A service page should state its scope clearly enough that the reader can judge fit.
If referral and inquiry evidence is available, compare it with the questions being investigated, while acknowledging incomplete attribution. A mention is not a sale, and a visit does not reveal the entire preceding interaction. Dappr can scope source review, technical access checks and content improvements around these limits. The result should be an accountable set of changes and a clearer public record, with business-owned access and no unsupported promise of recommendations.
Questions before you begin
Does allowing GPTBot guarantee ChatGPT search visibility?
No. OpenAI documents GPTBot and OAI-SearchBot for different purposes, with independent controls. Review search access using the relevant current guidance; crawler access itself does not guarantee a mention or citation.
Can Dappr remove a wrong generated answer?
Dappr can investigate the public sources involved and correct information within the agreed control and permissions. The product generates its own responses, so a source correction is not a promise of immediate removal everywhere.
Is a ChatGPT mention the same as a referral?
No. A mention may occur without a link or visit, and a referral does not prove that the product recommended the business. Keep these observations separate when discussing performance.
Should we publish private documents to improve visibility?
Public discovery work should use information approved for public release. It does not require exposing customer records or internal documents. Decide what can be published before evaluating crawler access.
What should we bring to an initial review?
Bring priority pages, the exact questions or inaccurate statements you observed, dates and visible source links where available. Also identify who can approve factual corrections and any authorized technical access.
