State the audience, relevant need and minimum information required before booking. Distinguish a discovery conversation from an implementation consultation. Avoid presenting every willing contact as a sales-ready opportunity.
Decide which requests should be referred elsewhere or declined. Qualification should help the prospect as well as the sales team. Do not ask staff to infer budget, authority or urgency without evidence.
Make scheduling accurate

Qualify with evidence and proportionate questions
Decide which facts determine whether the conversation is appropriate. The fictional consultancy might need a general facility type and the topic the prospect wants to discuss. It should not ask intake staff to infer budget, authority, or technical suitability from a job title alone.
Keep unresolved facts visible. A discovery appointment can be useful precisely because the team does not yet know all the requirements. The record should reflect that stage rather than label every booked person as sales-ready. Clear definitions help both parties arrive with realistic expectations and reduce pressure to inflate appointment quality in reports.
Use actual availability and meeting ownership
The booking flow needs an authoritative schedule and an identified host. Confirm the relevant calendar, timezone, duration, and any preparation or buffer requirements within the approved arrangement. A displayed time should not become a promise if the underlying availability has not been checked and accepted.
For the fictional consultancy, a requested time may require staff confirmation if multiple specialists are involved. Explain that state clearly to the prospect. The implementation must distinguish a request, a reservation, and a confirmed meeting rather than using the same success message for all three.
Plan changes as part of the normal journey
Cancellations, rescheduling, host absence, and incomplete preparation are ordinary cases. Define who can make a change and how the other party learns about it. The prospect should not receive conflicting confirmations or have to restart the entire inquiry simply to move a time.
For the consultancy, a host substitution may affect the purpose of the meeting. Staff should review whether the replacement can handle the requested topic rather than treating any open calendar slot as equivalent. Test the record and notification behavior when a change occurs, including the treatment of reminders already scheduled.
Keep reminders within the approved communication scope
A reminder should identify the meeting and provide the information needed to attend or make an appropriate change. Review the actual channel requirements and permission basis before activation. Do not assume that a booking authorizes an unrelated promotional sequence.

What should happen after a cancellation?
Update the relevant record and scheduling arrangement, stop or revise reminders, and communicate the change appropriately. Test the actual implementation, including queued messages. The workflow should not continue acting as though the original meeting is still scheduled.
Can appointment setting guarantee sales meetings or attendance?
